Route Planning

Plan and optimize customer visit routes.

Plan efficient customer visit routes using smart optimization or manual selection. The Route Planning tool helps field sales reps minimize travel time while maximizing customer coverage.

Quick Overview: Select customers, set time constraints, generate an optimized route, and add visits to your calendar.

Accessing Route Planning

Click Traveller in the main navigation to open the route planning tool.

The interface guides you through a 3-step process:

  1. Customer Pre-Selection - Set criteria and get suggestions
  2. Generate Route - Review and calculate the optimal path
  3. Save Activities - Add the route to your calendar

Planning Types

Choose how you want to build your route:

  • Smart — Automatic suggestions based on customer segments and visit history
  • Manual — Search and select specific customers yourself
  • Predefined — Use pre-configured routes (if enabled)

Smart Planning

The system suggests customers based on:

  • Customer segmentation
  • Time since last visit
  • Geographic proximity
  • Number of visits per day setting
Tip: Smart mode prioritizes customers who are overdue for a visit based on their segment's visit frequency. High-value customers who haven't been seen recently appear first.

Manual Planning

Select any customer from your territory:

  • Search by name or ID
  • Toggle customers on/off from the list
  • Set a starting point for the route

Predefined Routes

If enabled, select from saved routes:

  1. Choose the days you want to plan
  2. Pick a predefined route for each day
  3. The system loads those customers automatically

Step 1: Configure Options

Set the parameters for your route planning.

Time Period

Select the date range for your visits:

  • Click the date picker to choose start and end dates
  • Holidays and absences are highlighted
  • Working days are automatically considered

Schedule Settings

  • Schedule Time Window — Working hours (e.g., 09:00 - 18:00)
  • Break Time Window — Lunch or break period
  • Average Visit Duration — Minutes per customer visit (5-480 min)
  • Visits Per Day — Target number of stops per day (Smart mode)

Starting Point

For Smart and Manual modes, optionally select where to begin:

  • Choose a specific customer as the starting point
  • The route calculates from that location

Salesman Selection

Plan routes for team members:

  • Select a salesman from the dropdown
  • Their customer base and holidays are loaded

Click Submit to generate customer suggestions.

Step 2: Select Customers

Review and adjust the suggested customers.

The Customer List

Each customer shows:

  • Name and ID
  • Selection status (checkbox or marker icon)
  • Time since last visit
  • Segment information

Selecting Customers

  • Click the marker icon to include/exclude a customer
  • Click the flag icon to set as starting point
  • Double-click to toggle selection quickly

Toggle Views

In Smart mode, switch between:

  • Only Suggested Customers - System recommendations
  • All Customers - Your entire customer base

Step 3: Generate Route

Calculate the optimal travel path.

Calculate Route

  1. Review selected customers
  2. Click Calculate Route or Recalculate Route
  3. The system computes the best sequence

Route Information

After calculation, see:

  • Distance — Total kilometers to travel
  • Driving Time — Estimated time on the road
  • Visiting Days — Number of days the route spans
  • Customers Visited — Total stops in the route

Day-by-Day View

If your route spans multiple days:

  • Use the day tabs to navigate
  • Each day shows its stops in order
  • The map updates to show that day's route

Warnings

A warning appears if:

  • The route has too many customers for the time window
  • Customers are too dispersed to fit constraints
Tip: If you see warnings, try reducing the visits per day or extending the time window. It's better to visit fewer customers well than rush through too many.

Adjustments

Before saving, you can:

  • Remove customers that don't fit
  • Recalculate after changes
  • Change the starting point

Step 4: Add to Calendar

Save the planned route as calendar activities.

Save to Calendar

  1. Review the final route summary
  2. Click Add to Calendar
  3. Visits are created for each stop

Confirmation

The system shows:

  • Number of visits created
  • Success message confirming calendar updates

View Your Schedule

After saving:

  • Open Schedule to see the new activities
  • Activities appear at their calculated times
  • The route is ready for execution

Best Practices

Planning Efficiently

  • Start with Smart mode to get data-driven suggestions
  • Adjust visits per day based on your average
  • Leave buffer time for unexpected delays

Geographic Clustering

  • The algorithm groups nearby customers
  • Check the map to verify logical groupings
  • Consider traffic patterns in urban areas

Time Management

  • Set realistic visit durations
  • Account for break times
  • Don't overbook - quality over quantity

Weekly Planning

  • Plan routes for the week ahead
  • Use the same starting point for consistency
  • Review the schedule before hitting the road
Did you know? Planning a full week at once helps the algorithm optimize across days. You might visit a customer on Tuesday instead of Monday if it creates a more efficient overall route.
