Organizational structure

Split your company into units so each person sees only the part of the business they run.

Organizational structure splits one company into a tree of units — regions, countries, groups of warehouses — and ties people, warehouses and customers to them. Each person then works with the part of the business they are responsible for.

Turning It On

If enabled, Settings > Organizational structure opens the card that controls the feature. It shows whether visibility is restricted, what still has no unit, and the way into the tree.

Turn on Restrict visibility by unit to switch the boundary on, and click Manage structure to build and edit the tree on its own page.

Building the Tree

The tree opens on its root unit, listed on the left with the direct count of people and warehouses on each unit. A Unit Admin or Unit Manager opens it on their own unit. Click New unit to add a unit below the selected one.

Give the unit a Name and an optional Code, choose the unit it sits Inside, then click Create.

Select a unit to change the tree:

  • Rename changes its name or code, then Save
  • Move to… puts it under another unit, then Move…
  • Delete removes it, after you confirm

A unit cannot move inside itself or one of its sub-units. Only a unit with no sub-units, warehouses or people can be deleted.

Placing People and Warehouses

At the foot of the tree, Unassigned lists the warehouses and people with no unit yet. Select what you need, choose a unit in Assign to…, then click Assign. The entry reads Everything is assigned once the list is empty.

People

Select a unit and open its People tab. Pick the people in Add people, click +, and they join the unit. The ✕ on a row removes someone from that unit only.

The Units… action opens all of a person's units, where Add units adds, ✕ removes, and What changes shows Leaves, Joins and Stays in before you save.

Warehouses

Open the Warehouses tab, pick in Bring warehouses here, then click +. Use Change unit… to move a warehouse to another unit — a warehouse is in exactly one unit.

People and warehouses can also be placed from their own screens:

  • In Settings > Users, the list has a Units column and a Units… row action. On a person's page, the Organizational structure card shows their units with Manage units….
  • In Settings > Branches, the list has a Unit column and a Change unit… row action. Editing a warehouse shows the same card, with Change unit….

A new invite has a Units field; with visibility restricted, an invite must join at least one unit. Other new people join the units of whoever invited or created them, and anyone with none waits in Unassigned.

Customers follow warehouses, not units. A customer of a country is visible to whoever sees a warehouse serving that country, so set the country on each warehouse. The field notes: With the organizational structure, customers of this country are visible to whoever sees this warehouse.

Restricting Visibility

Restrict visibility by unit moves the company from open to restricted visibility. While it is off, everyone sees everything. Once on, each person sees their units and everything below them — never the units above.

Anyone left in no unit sees a notice instead of an empty app — You're not in any unit yet — telling them to ask an administrator to add them to one.

Before visibility can be restricted, every warehouse and every person needs a unit, and every warehouse needs a country. Until then the card reads Open visibility and counts the warehouses and people still without a unit; once everything is placed, it tells you that you can restrict it now.

Unit Roles

Two roles work inside the units: Unit Admin and Unit Manager. Both are offered only while visibility is restricted, and each sees their own part of the tree.

They add sub-units, rename, move and delete what sits below their own units, and place people and warehouses of their part inside it. Their own units are read-only, and nobody changes their own membership.

  • Unit Manager administers people inside their units — inviting, editing and deleting them — and impersonates the people they manage, never an admin or another unit manager. They also create, edit and delete teams, and edit or delete only the teams they lead.
  • Unit Admin handles the people and operations of their units, but not the company itself: company settings, billing, integration logs, conversation accounts and company notifications stay out of reach.

Global Managers keep access to everything.

Unit Admins and Unit Managers open the tree from the Organizational structure entry in the menu.

Users

Invite people and set the units each one belongs to.
